So the task becomes very easy when one knows how to use apps in Power BI and avail its collaborative features. Hence we are here today to see how to publish the app in the Power BI Service.

What is a Power BI App?
Power BI App is one of the features of Power BI that allows sharing of the content to a broad audience. One can share dashboards, reports, datasets and links combined all in one place through apps. Power BI Designers create the app in the workspaces where they share their content packaged with an organisation or a specific individual. App users are the ones who consume and view that app.
How can we get a new app?
There are three ways in which one can get a new app:
- First, one can get it directly from the Power BI app marketplace.
- One can also access the app from the direct link received from the designers.
- App Designer can even install the app directly into the app users Power BI Service account.
How to install an App from the Power BI AppSource?
Power BI AppSource is an online store containing Software as a service application to help run your business.
Step 1: Sign in
The first thing is to sign in to Power BI services from here. But don’t forget to head here again for further procedures.
Step 2: Get Apps
When the Power BI service opens, Select → Apps → Get apps.
Step 3: Install an app.
3. 1 The Apps marketplace opens, and as you can see from the below image, it provides you with myriad options to chose from. One can select according to the need.
Moreover, it provides apps installation from three categories:
All apps – This will show the list of all the Power BI Apps present.
Organisational apps – It will display all the apps that are shared within an organisation.
Template apps – This section will include all the apps hosted by Microsoft AppSource.
3.2 Once you find the app you are looking for, select the app and click on “Get It Now”.
For the demo purpose, we have selected YouTube Analytics by MAQ Software.
3.3 To install an app, select “Install”.
3.4 The below image shows the installed app. You can even set your Youtube account detail by selecting “Connect your data “.
How to publish a Power BI App?
Now, as a designer, if you want to share your content with others, Power BI App has got your back. So, let’s see how to create an app to share reports, dashboards, datasets and links.
When reports and dashboards are ready, you can perform the following steps. If not, learn how to learn to design a Dashboard and Report.
Step 4: Workspaces
Click on Workspaces, then select the one that has your intended content.

Step 5: Create App
The selected workspace will open, showing all the reports, dashboards and datasets in that workspace. Then, click on “Create app”.
The app creation happens via three steps: ‘Setup’, Navigation’, and ‘Permissions’.
Step 6: Setup
The Setup page will ask you to name your app and a short description of it so that they can easily find the app when you share it with other people. It even allows you to customise and set theme colour, app logo and specify your contact information.
Step 7: Navigation
The Navigation builder is where we set custom navigation for our apps. It contains a few options; let’s see them one by one.
7.1 On the Navigation tab, we reorder the items by using ↑ / ↓ keys, as shown in the figure below.
You can even hide the items you don’t want to include in your app by selecting the “Hide” option.
7.2 Navigation builder allows you to make sections; for that, click on “New”, Select “Section”.
7.3 A “New section” will be created, where it will ask you to fill in the “Name” under “Section details“.
In the below image, you can see, we have given the section name “K21academy”.
7.4 To include reports and dashboards into the newly created section, follow the counters:
1.First, we will select that particular dashboard. (here, report.pix)
2. Then, under Dashboard details, you will find the “Section” option.
3. Clicking on the section tab will show the fly menu with sections available. (here, we want to put a ‘report. pix’ under ‘K21academy‘)
7.5 Hence, the below image shows that report. pbix is successfully included under the section K21academy. Pretty easy, right?
Step 8: Link
Now, if you want to add any external source link to your app, then you can do this by:
Click “New”, now select “Link”.
It will ask you to fill in the name and give the link, copy the link from the source and paste the link under the “Link* “option.
Links by default open in the ‘Current tab’, but you can choose from the other two options, i.e. ‘New tab’ or the ‘Content area’.
Step 9: Permissions
The Permissions tab allows you to decide who all have access to our app.
You can share the app either with the entire organisation or specific individuals or group by giving their email address.
“Install this app automatically” allows designers to install the app for the recipients.
If you are done with permissions, Click on “Publish app”.
Step 10: Publish an App
10.1 A dialogue box will appear, confirming the app is ready to publish. Select “Publish”.
10.2 Then another dialogue box will appear, “Successfully published”, where you can copy the link to send to your colleagues. Again, it’s a direct link to the Power BI App you created.
10.3 When you click on “Go to app”, it takes you to the app, or you can also see the installed app in the App section.
10.4 The final output of the app is shown below.
So you will see when we hover over the navigation pane through the particular items, then the results from that dashboards and report get displayed. Hence, the advantage of the Power BI app is that it helps to share data all in one place.
How to Update a Power BI App?
If you want to update your app, you can easily do it by going to that specific workspace, where you will see the “Update app” option. Here you can again update Setup, Navigation and Permissions, as per your needs.
If you find you no longer need an app, you can unpublish the app by selecting (…) → “Unpublish App.”
